Meeting labor cost calculator

Estimate staff time and labor cost for one meeting from headcount, average hourly cost and minutes. Distinguish time allocation from extra cash payments.

Start with your own numbers

Editable example

An example is filled in. Replace it with your own data to calculate.

Enter the number attending the whole meeting, the average cost per person per hour and this meeting’s duration in minutes. For example, use 6 people, 320 per hour and 45 minutes. The rate is hypothetical; use your own assumptions.

Enter a whole number including yourself if you attend. You plus five others is 6 people. Everyone in this calculation attends for the full duration; calculate groups separately if their attendance times differ.
Use the average labor cost per person per hour, all in the same currency. Enter 320 for a rate of 320. Include only employer costs you actually know; a salary-only rate excludes other costs. No names or individual salaries are needed.
Enter minutes for this single meeting: 45 for 45 minutes, or 90 for 1.5 hours. This is not the number of meetings per day. No calendar connection or live timer is used.

Example result

Estimated labor cost of this meeting

1,440TWD

The answer allocates a cost to staff time. It is not necessarily an extra cash payment or money saved by cancelling the meeting, and it does not judge the meeting’s value. Person-hours add together everyone’s time.

Total staff time4.5 person-hours
Time cost per person240 TWD
Team cost per minute32 currency units/min

Worked steps

  1. 6 × 45 ÷ 60 ≈ 4.5
  2. 4.5 × 320 ≈ 1440

Divide minutes by 60 and multiply by headcount for total person-hours. Multiply person-hours by average hourly cost for the main answer. Per-person cost excludes the headcount multiplier; the team’s cost per minute includes it. Synthetic example: 6 people each attend for 45 minutes at an average cost of 320 per person per hour. Total time is 6 × 45 / 60 = 4.5 person-hours, costing 1440 in your currency. Each person accounts for 240, and the team costs 32 per minute. Person-hours combine everyone’s time: six people attending for 45 minutes contribute 4.5 person-hours; the meeting itself still lasts only 45 minutes. The result is not necessarily extra cash paid or cash saved if the meeting is cancelled, and does not assess its value. A zero answer can come from a zero hourly rate or zero minutes; a positive cost below 0.01 is shown as less than 0.01, not zero. All participants must attend for the same duration. Calculate separate groups and add their costs if attendance differs. No tax, benefits, overtime, statutory wage or fixed annual-hours assumption is inferred. Save your assumptions to compare scenarios; this is not a payroll calculation, accounting classification or employee performance assessment.

What this tool helps you do

Estimate the staff time allocated to one meeting using headcount, an average hourly labor cost and minutes. This is a time-cost estimate, not a calculation of extra payments, meeting benefits or wasted money.

What to enter

Include yourself if you attend and use the average cost per person per hour in one currency. A salary-only rate leaves out other employer costs. Include additional costs only when known; the example is not a legal wage or a recommended rate.

How it is calculated

Divide minutes by 60 and multiply by headcount for total person-hours. Multiply person-hours by average hourly cost for the main answer. Per-person cost excludes the headcount multiplier; the team’s cost per minute includes it.
